Access and supported records

Which Salesforce records are supported?

Accounts, Contacts with an Account, Leads with a Company value, and Opportunities with an Account. Contacts and Opportunities use their related Account for context.

What permissions are required?

End users need SW AI Sales Agent User. Administrators need SW AI Sales Agent Admin, which also grants access to the Agent component.

Why does the Agent say that a record needs more information?

The record is missing its Account Name, related Account, or Lead Company. Add the required information and try again.

Data and privacy

What data does the Agent process?

Depending on configuration and use, it may process selected Salesforce context, identifiers, conversation content, generated answers, tool data, and technical metadata. Qualify, web search, Task creation, and audio playback may process additional information needed by those features.

Does SalesWings train AI models on our data?

SalesWings does not use customer prompts, CRM context, or generated responses to train AI models or improve its services. A customer using BYOM is responsible for reviewing the terms of its selected provider.

Do Guardrails prevent users from typing sensitive data?

No. Guardrails control which Salesforce fields an administrator can select as context; they do not inspect chat text. Selecting no sensitivity levels turns filtering off and makes every supported field eligible.

Models and BYOM

Does the Agent always use OpenAI or ChatGPT?

No. It uses either the SalesWings-managed model configuration or a provider configured through Bring Your Own Model (BYOM).

What is BYOM?

BYOM lets an administrator select an available provider and model and supply the organization's credentials. Azure OpenAI also requires its resource endpoint and deployment name. See Configure Bring Your Own Model.

Does BYOM fall back to a SalesWings-managed model?

No. If a BYOM configuration becomes unavailable, restore a compatible configuration or clear the conversation and start a new one.

Conversation history

How long are conversations stored?

Conversations are automatically deleted 365 days after the last successfully saved message or action. Opening a conversation does not restart the period. Deletion may occur shortly after, rather than exactly at, the 365-day mark.

Are conversations shared between users?

Your administrator chooses whether conversations are shared across the org or separated by Salesforce user. Contacts and Opportunities are grouped with their related Account.

What does Clear do?

Clear deletes the current conversation. If conversations are shared, this also clears it for other users. Clearing from a Contact or Opportunity can also clear the conversation shown on its related Account.

Does disconnecting the org delete conversations?

No. It prevents chat until an administrator reconnects the org, but it does not delete conversations or BYOM settings.

Tasks and generated content

Does Draft Email create or send an email?

No. It generates email text and may open it in the user's email application. It does not create or send a Salesforce email.

Can the Agent create Salesforce Tasks?

Yes, if the user has the required Salesforce permissions. The Agent creates the Task immediately when requested; there is no separate confirmation screen. Review the request first and the resulting record afterward.

What happens during audio playback?

The answer text is sent to the configured speech service, which returns audio for playback.

How much does the AI Sales Agent cost?

Pricing depends on the applicable SalesWings order or subscription. Contact SalesWings or your Customer Success Manager.
